The Role

As Fleet / Transport Operator, you will be responsible for coordinating the fleet maintenance, maintaining detailed records of vehicle servicing, inspection and scheduling regular vehicle maintenance to ensure legal compliance. Working with Trucking Managers to minimise the risks associated with vehicle expenditure improving efficiency, productivity and reducing costs.


Key accountabilities:

  • Book repairs, MOTs, servicing requirements, RFL’s, fuel cards and accident management
  • Maintain records, proving that the fleet is compliant with regulations whilst demonstrating value for money
  • Manage maintenance schedules to ensure that the optimum number of vehicles are working at all times to maximise vehicle utilisation and productivity
  • Responsible for the coordination of fleet repairs and maintenance to maintain excellent standards
  • Create measures to show continuous improvement throughout all areas of the fleet
  • Manage vehicle defect reporting and facilitate corrective actions in a timely manner
  • Control CMR/POD compliance with company requirements
  • Maintenance of ADR and discharge equipment (fire extinguisher discharge / pump and compressors)
  • Ensure the operational standards of communication equipment and onboard computers
  • Take personal responsibility for own health, safety and welfare and that of colleagues in the workplace
  • Support line management in the development of the role
  • Understand, embrace and apply the company culture of continuous improvement
  • Responsible for the creation of PO’s and invoicing for suppliers, breakdown, repairs, maintenance, general capex and yearly PPM
  • Point of contact for out of hours call and technical support (breakdowns, mechanical support and repairs)

Job requirements

Successful candidates will have:

  • Prior experience in transport administration, logistics, or a related field is preferred. Experience working in an administrative support role is advantageous.
  • Excellent organizational skills with the ability to manage multiple tasks, prioritize effectively, and meet deadlines in a fast-paced environment.
  • Strong attention to detail to ensure accuracy in data entry, documentation, and record keeping.
  • Clear and effective communication skills, both written and verbal, to collaborate with team members, drivers, and stakeholders.
  • Strong problem-solving skills to identify issues, propose solutions, and make informed decisions under pressure.
  • Proficiency in using transportation management systems, database software, and Microsoft Office Suite to support administrative tasks and data analysis.
  • Willingness to adapt to changing priorities, work schedules, and support the team during peak periods or unforeseen circumstances.
  • Ability to understand and empathize with the needs and concerns of team members, drivers, and stakeholders, fostering a supportive and inclusive work environment.
