Job description
Den Hartogh is seeking a structured, proactive, and service‑minded Office Coordinator to support our Logistics Service Centre (LSC) and Depot operations at Säve. In this role, you will be an essential link between customers, internal teams, and external stakeholders—ensuring smooth daily operations.
As an Office Coordinator, you can expect a dynamic work environment. You will work closely with the Depot Team to ensure customers receive timely and correct service. Your structure and proactiveness will be useful ensuring accurate input and processing of orders within the system, as well as controlling the mailbox and maintaining the relations with customers concerning cleaning, workshop and heating related matters. You will be reporting to the Production Manager and support in operational matters where needed.
The role requires analytical thinking in terms of following up on costs and check orders are priced correctly in collaboration with procurement and the finance department. You will support in the communication with authorities, customers, and other external stakeholders to maintain strong relationships, address concerns, and uphold the company’s service standards. You will be a superuser in our local system and responsible for the Depot office management, to assist drivers and customers with inquiries and support as needed as well as to ensuring a welcoming environment for both customers and employees. Last but not least, since safety is our number one priority, you will be emphasizing and contributing to an outstanding safety culture.
Job requirements
Education in business economics, finance, or equivalent experience working with cost control and invoicing (required)
Experience in the logistics sector is an advantage
Have proficiency in Microsoft Office, with a particular emphasis on Excel for data analysis and reporting.
Highly structured and organized
Be capable of working independently, with a strong ability to prioritize tasks and meet deadlines in a dynamic environment.
Good analytical skills and a reflective mindset
Have solid experience in customer-facing roles, with a proven ability to engage and manage client relationships effectively.
Be a collaborative team player who is adaptable, solutions-oriented, and proactive in taking initiative.
Confident in decision‑making and delegating when needed
Have excellent interpersonal skills with a good ability to network
Be clear and effective communicator, both verbally and in writing
Be fluent in Swedish and English
Have drivers license B and access to a car
